Portfolio Management

This article covers the portfolio-related routes and capabilities available in GleanMark.

Portfolio Workspace

The following protected routes are registered for portfolio workflows:

• /portfolios
• /portfolios/new
• /portfolios/:id
• /portfolios/:id/settings
• /inbox

The /portfolios workspace provides two view modes:

• Grouped (default) — portfolios displayed as cards with mark previews, deadline badges, and alert indicators.
• Marks — a flat list of individual trademarks across all portfolios, with sorting and filtering.

A portfolio scope toggle controls which portfolios appear:

• Firm (default) — shows only the firm-watchlist lifecycle buckets when they exist in the workspace.
• All portfolios — shows every non-client portfolio in the workspace, including custom portfolios and your own private portfolios. This choice persists across navigations.

Filters and Search

The workspace supports the following filters:

• Status
• Mark Type
• Class
• Owner
• Tags
• Portfolio
• Client
• Attention (recent alerts, overdue, next 30 days)
• TTAB
• Responsible Attorney (available when enabled for your account)

Status values: Registered, Pending, Cancelled, Abandoned, Expired

Mark Type values: Word, Stylized, Design, Combined, NonVisual

The Quick Find search matches portfolio names, descriptions, and contained marks (mark identification, owner name, serial number).

Portfolio Cap

On the Free plan, the workspace limits you to 1 portfolio. Portfolios beyond the plan limit appear locked — nothing is deleted, and upgrading restores access. The /portfolios/new page shows an upgrade screen when you are at the cap, and /portfolios/:id shows a lock screen for capped portfolios reached by bookmark or typed URL.

Creating Portfolios

A protected route is registered at /portfolios/new.

The creation form includes:

• Portfolio Name (required)
• Description
• Who can see this portfolio? — In organization mode, choose between:
  • Whole firm — everyone at your organization can view the portfolio and is subscribed to its alerts.
  • Just me — only you can see it; it does not appear for anyone else at the firm. You can share it with the firm later.
• Assign to Client (Optional) — link the portfolio to a client. Client assignment is not available for private portfolios.
• Automatic Renewal Monitoring — toggle to receive alerts for upcoming renewal deadlines.
• Default Alert Settings — applied to new trademarks added to this portfolio.

If your plan has reached its portfolio limit, the page displays an upgrade prompt instead of the form.

After creation, you are navigated to the portfolio detail page (or back to the client page if created from a client context).

Adding Trademarks

Use /import-trademarks if you want to import trademarks.

From a portfolio detail page, you can also:

• Click Add Trademarks to add individual marks.
• Use the import button to bulk-import serial numbers from CSV or text.

Portfolio Detail Page

A protected route is registered at /portfolios/:id.

The detail page displays:

• Metric badges for Owners, Trademarks, and Live counts.
• Portfolio description and tags.
• A client badge when the portfolio is linked to a client.
• A default-portfolio indicator when applicable.

Inline Editing

Click the edit icon next to the portfolio name to edit the name, description, tags, and client assignment inline.

Actions

• Add Trademarks — add marks to the portfolio.
• Import — bulk-import serial numbers from CSV or text.
• Export — download portfolio marks as an Excel or CSV spreadsheet, with Basic, Comprehensive, or Custom columns (set your column lists in Account Settings).
• More options menu:
  • Official copies (available when enabled for your account)
  • Manage alerts — navigates to /portfolios/:id/settings
  • Duplicate
  • Share (coming soon)
  • Delete

Filters

The sidebar provides filters for Status, Mark Type, Class, and Owner, along with a search field. Filter state is reflected in the URL.

Portfolio Settings

A protected route is registered at /portfolios/:id/settings.

The settings page lets you configure the Default Alert Configuration for the portfolio. These settings apply to new trademarks added to the portfolio. Existing trademarks keep their current alert settings.

Tips

• Use /portfolios for portfolio-related navigation.
• Use /import-trademarks if you want to import trademarks.
• Use /inbox to access the inbox page.
• Switch to All portfolios scope to find custom or private portfolios that do not appear in the default firm-triage view.
• Use the Marks view mode for a flat, sortable list of trademarks across all portfolios.

What's Included in Each Plan

The Free plan includes 1 portfolio. The portfolio limit is enforced by the database. When the limit is reached, additional portfolios are locked (not deleted) until you upgrade.
