The team behind GleanMark

Portfolios are the core organizational unit in GleanMark. Every trademark you add to a portfolio is automatically monitored. This guide covers the full portfolio lifecycle — creating, organizing, filtering, exporting, and sharing.

Portfolio Workspace

The Portfolios page (/portfolios) shows all your portfolios in a grouped view with:

  • Search across all marks in all portfolios
  • Faceted filters (status, class, type)
  • Bulk selection for multi-mark actions
  • CSV export of any filtered view

Creating Portfolios

From the Portfolios page, click New portfolio or go to /portfolios/new:

  • Name (required) — descriptive name
  • Description — optional notes
  • Client — optional client assignment (for firms managing multiple clients)
  • Automatic Renewal Monitoring — toggle for Section 8/9 deadline tracking
  • Default Alert Settings — per-portfolio alert category toggles and frequency

New portfolios are created as the "Owned" type. The portfolio type isn't chosen on the create form.

Adding Trademarks

From any portfolio detail page, click Add Trademarks to open the add modal:

  • Add by serial number — type a serial, GleanMark validates it against the USPTO database
  • Bulk import — paste or upload a list of serial numbers
  • Import wizard/import-trademarks searches USPTO by your correspondent email to find your marks automatically

Portfolio Detail Page

The detail page (/portfolios/:id) shows:

  • Trademark list — searchable, sortable table
  • Filter sidebar — status, Nice class, mark type, owner
  • Inline editing — rename the portfolio, update description, change tags
  • Alert activity — recent alerts for marks in this portfolio
  • Document and comment counts per mark
  • Actions — export CSV, manage alerts, delete (duplicate and share are coming soon)

Portfolio Settings

Access via the gear icon on the detail page:

  • Alert category toggles (override global settings)
  • Notification frequency
  • Client assignment
  • Auto renewal monitoring

Tips

  • Name portfolios clearly to organize — e.g., "Core Brands" for your marks, "Competitor Watch" for competitive monitoring
  • Assign to clients if you're a firm — this links portfolio activity to client reports
  • Export to CSV regularly for offline backups or client deliverables
  • Use tags to group related portfolios across clients
