Organization Settings

By GleanMark Research Team

Organization Settings holds the settings that apply to your whole firm: the organization's name, who can see which clients, automatic sign-out for every member, and who owns the account. For inviting people and assigning roles, see Team Management.

How to Access

Open the menu under your name at the bottom of the sidebar and choose Organization (/settings/organization). The page has two tabs, Profile and Team. The settings below are on the Profile tab.

You need to be in your firm's workspace. In a personal workspace, the page asks you to switch to an organization first. The firm's owner and administrators can open the Profile tab, and the owner is the one who changes the settings in this article.

Organization Profile

The Organization Name appears across GleanMark, including the workspace name in the sidebar and the firm name on branded clearance reports.

To change it, edit the name in the field. A save icon appears once you change it; click it or press Enter. Press Escape to cancel. The name can't be left blank.

Client Access Mode

Client Access Mode decides which clients your team members can see. Only the owner can change it.

  • Firm-Wide Access (the default): all team members can see all clients. Best for small teams that share the work.
  • Restricted Access: team members see only the clients they're assigned to. Use it for ethical walls and for access that ends on a set date.

Clicking an option switches the mode right away. The owner and administrators always see every client.

In Restricted mode, a team member with no client assignments sees no clients. To assign someone to a client, edit the client and open Team Access. There you can add team members at one of four levels (View, Edit, Manage, or Blocked) and set an expiration date. Assignments are available only in Restricted mode.

Restricted Access applies to clients. Team members can still see the firm's portfolios.

Automatic Sign-out

Automatic sign-out signs members out after a period of inactivity, on every device. It's off unless you turn it on.

  1. Turn on Sign members out automatically.
  2. Under Sign out after this much inactivity, choose a time from 15 minutes to 1 day.
  3. Optionally, under Maximum session length, even while active, choose a limit from 8 hours to 7 days. Leave it at No maximum unless your security policy requires a fresh sign-in on a schedule.
  4. Click Save session policy.

Members see a one-minute warning with a Stay signed in button before they're signed out for inactivity. Members who belong to more than one firm get the strictest policy of all their firms, wherever they're working. Each member can see the policy that applies to them in their own Account Settings, under Security.

Transfer Ownership

The owner can hand the account to another member:

  1. Click Transfer Ownership.
  2. Under New Owner, choose a team member. Any active member except a Client user can become the owner.
  3. Click Transfer Ownership to confirm.

The new owner takes over the owner's controls, including billing, plan changes, seat changes, and deleting the organization. You become an Administrator. The firm's subscription itself doesn't change. There's no undo; to reverse it, the new owner transfers ownership back.

Confirming It's You

Changing automatic sign-out or transferring ownership may ask you to confirm it's you. If you haven't signed in recently, GleanMark emails you a 6-digit code. Enter it and click Verify to continue.
